If you have a large Microsoft Excel spreadsheet with a list of addresses or contacts, you may need to organize your data into an MS Access database. This process is very simple. This tutorial will walk you through the process of converting your Excel spreadsheet into a Access 2007 database.
1. The first thing you need to do is open a new database on Microsoft Access. To do this, click the Blank Database icon located on the Getting Started with Microsoft Office Access screen. After doing that, you will need to create a name for the database. After naming the database, click Create to continue.
2. After creating a new database, click the External Data tab located at the top of the Access screen. After that, double-click the Excel button to begin the import process.
3. You will then be presented with a new screen. Click the Browse button and locate the file you wish to import. Once you have located this file, click the Open button.
4. By looking at the bottom-half of the screen, you will see the import destination options. Select Import the source data into a new table in the current database. By using the other options, you can either link your database to an Excel sheet or import data into an existing database table. After selecting the corresponding file and option, click OK to proceed.
5. In the next window, check the option labeled First Row Contains Column Headings. Doing this, will instruct Microsoft Access to make the first row of cells to act as names. Click Next to continue.
You can also click the Indexed option to open a pull-down menu that will let you apply an index to one or more of your databases. It is important to know that indexes consume hard disk space. Once you have created all of your indexes, click Next to continue.
6. Now you need to identify the records in the database. The best way to do this is to let Microsoft Access generate a primary key. Select the option labeled Let Access add primary key. Click Next to proceed.
7. Now you need to give Access a name to reference your table. Select a name like “Contacts” or “Addresses”. Enter the name and click Finish. Click the Close button.
8. You will then be returned to the main database screen to view your data. You should have successfully imported your Excel data to Microsoft Access.
