10 – POINTS TO REMEMBER WHEN YOU SEND EMAIL
E mail etiquettes are guidelines that help you to avoid mistakes and misunderstandings. These core rules of email etiquette help us to communicate better via email.
1 – Take Another Look When You Send a Message.
Don’t send anything you don’t want to send.. Check your message carefully for spelling and grammar.
2 – Do Not Default to “Reply to All”.
“Reply” is good. “Reply to All” is better. Right?
3 – Keep Emails Short.
Do not intimidate recipients with too much content. Keep your content to the point. Send mail in a form you would like to receive. The language should be good with short sentences.
4 – Properly Format Your Email Replies.
Do you think quoting original text in your email replies perfectly is a lot of work? Don’t let the’>’ sign intimidate you! Here is a very comfortable, relaxed, quick and still clean and compatible way to reply.
5 – Clean Up Mail Before Forwarding Them-
Forwarding mail is a great way of sharing ideas, but make sure original idea is not hidden in obfuscation.
6 – When in Doubt, Send Plain Text Email, Not HTML-
Not everyone can receive your fancy formatted email. Someone may be even furious. To be safe rather than sorry, send plain text email when in doubt.
7 – Don’t Forward Hoaxes- Email hoaxes often contain stories that are intriguing and sure to irritate. So do not forward them. This saves everyone’s time.
8 – Use Current Antivirus software, Scan for Free- Make sure you are not spreading worms and virus via email or act as a vehicle for spreading spam. Use anti virus software to scan all mails. There are free softwares available online. Download and use.
9 – Write Perfect Subject Lines- Do you make these mistakes in your email subjects?
This is the key to your message getting read. We read the subject line when we open Inbox and then open mail. Without proper subject line your mail may be ignored.
10 – Do Let People Know That Their Mail Has Been Received. - Did the spam eat up my message? Your sender may worry. Spare others this nagging question and let them know you got the mail.
